Aarav Ices (“we”, “us”, “our”) operates the website aaravices.com.au and a mobile soft-serve ice cream van hire service across South-East Queensland. We respect your privacy and handle your personal information in accordance with the Australian Privacy Principles (APPs) set out in the Privacy Act 1988 (Cth).

This policy explains what information we collect, why we collect it, how we use it, who we share it with, and the choices you have. If anything is unclear, please contact us — we're happy to talk it through.

What we collect

We only collect the personal information we need to give you a quote, run your event, and improve our service. Typically that includes:

• Identity & contact details — your name, business name, phone number and email address.
• Event details — date, time, venue address, expected guest count, event type, and any access or dietary notes you share with us.
• Booking & payment details — invoice records, deposit and balance payments. Card details are processed by our payment provider; we do not store full card numbers.
• Communications — emails, SMS, calls and form submissions you send us.
• Site usage data — pages viewed, referring URL, device, browser, approximate location and IP address. See Cookies & tracking.

How we use your information

We use your information only for purposes you would reasonably expect, including:

• Preparing and sending quotes, invoices and booking confirmations.
• Coordinating logistics for your event (parking, power, access, set-up time).
• Replying to your enquiries via phone, email or SMS.
• Improving the website, our menu, and our service quality.
• Sending occasional service updates or seasonal availability notices — never daily marketing spam.
• Meeting our legal, tax and insurance obligations.

Who we share information with

We don't sell or rent your data. We share limited information only with trusted partners who help us run the business, including:

• Payment processors (e.g. Stripe / bank EFTPOS) to take deposits and balance payments.
• Email & SMS providers we use to send quotes, confirmations and reminders.
• Cloud hosting and analytics providers (e.g. our website host and Google Analytics) so the site stays online and we can measure usage.
• Insurers, accountants and legal advisers when reasonably required.
• Authorities if required by law (for example, a valid court order or workplace safety investigation).

Your information is not sent overseas in a way that bypasses Australian privacy protections. Where a service provider is based overseas, we take reasonable steps to ensure they handle your data consistently with the APPs.

Storage & security

Your data is stored on secured servers and within encrypted backups. We restrict access to staff who need it to do their jobs, use strong passwords and multi-factor authentication on critical accounts, and review our systems regularly. While no online service is 100% secure, we treat any incident seriously and will notify you where required by Australian law.

Cookies & tracking

We use a small number of cookies and similar technologies to make the site work and to understand how visitors use it. The categories we use are:

• Strictly necessary — keeps the booking form and admin login working. Always on.
• Analytics — anonymous, aggregated stats (e.g. page views, popular routes) so we can improve the site.
• Marketing/remarketing — only loaded if we explicitly run a campaign; you'll see this disclosed in our cookie banner.

You can control or block cookies through your browser settings. Blocking strictly-necessary cookies may break the booking form.

Your rights

Under Australian privacy law you can:

• Ask us what personal information we hold about you.
• Ask us to correct anything that's wrong or out of date.
• Ask us to delete your information when we no longer need it (subject to legal record-keeping requirements).
• Withdraw consent for marketing communications at any time.
• Make a privacy complaint — to us first, and then to the Office of the Australian Information Commissioner (OAIC) if you're not satisfied.

Children's privacy

Our service is sold to adults organising events. We don't knowingly collect personal information from children under 16. If a parent or guardian believes their child has submitted information to us, please contact us and we'll remove it.

Changes to this policy

We may update this policy from time to time — for example, if we add a new feature or change a service provider. The "last updated" date at the top will reflect the most recent version. Material changes will be highlighted on the homepage or notified to you directly where appropriate.
